Your privacy matters to us
Veiko respects your privacy and makes sure your personal data is processed securely, carefully and confidentially. We only process the data needed to provide, improve and protect our services. We never sell your personal data or share it with third parties for commercial purposes.
About this Privacy Policy
This Privacy Policy applies to your use of the Veiko website and our services. It explains what personal data we collect, what we use it for, who we may share it with and how we protect it. If you have any questions, please contact us at info@veiko.uk.
Processing of personal data
Veiko processes personal data in accordance with applicable data protection law, including the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and, where applicable, the EU General Data Protection Regulation (GDPR). Data is only processed for clearly defined, legitimate and lawful purposes. Our legal bases for processing personal data are the performance of a contract, a legal obligation, our legitimate interests or your consent.
What data do we collect?
We only collect the data needed to process your order and provide good service:
- Your full name
- Delivery and billing address
- Email address and phone number
- Payment details (processed by secure payment service providers)
- Order history and communication with customer service
- Technical data, such as your IP address and browser information
Online shop and technical services
Veiko uses Shopify to run its online shop. Shopify acts as a data processor and stores order and customer data securely on our behalf. We also use trusted tools such as Google Workspace (email and communication) and Klaviyo (customer communication and newsletters). These providers only have access to data to the extent technically necessary and may not use it for their own purposes. Our website is protected by SSL encryption and appropriate security measures.
Payments and PayPal
Payments are processed by secure, certified payment service providers. Card details are handled directly by our payment provider and are never stored by us. If you choose PayPal as your payment method, PayPal acts as an independent data controller for its own processing. This means PayPal may process your personal data in line with its own privacy policy, for example for identity verification and fraud prevention.
When you use PayPal, we may share the data needed to process your payment, such as your name, contact details, delivery address and order details. For more information on how PayPal processes your personal data, please see PayPal’s privacy statement at paypal.com.
Email and customer communication
All customer communication takes place through secure systems. We use appropriate technical and organisational measures to prevent loss, misuse or unauthorised access to data. Personal data is only used for customer service and order processing. We only send marketing emails or newsletters with your explicit consent, which you can withdraw at any time.
Purposes of processing
We process personal data for the following purposes:
- Processing and delivering orders
- Handling payments and preventing fraud
- Customer service and support
- Complying with legal obligations (such as accounting)
- Improving our website and services
- Marketing, where you have given consent
Sharing data with third parties
We only share your data with parties needed to fulfil your order, such as:
- Payment service providers (for card and PayPal payments)
- Delivery companies (national and international carriers)
- Technical service providers (Shopify, Google Workspace, Klaviyo)
We have data processing agreements in place with all of these parties to make sure your data is protected. We do not share your data for any other purpose without your consent, unless required by law.
International transfers
We are based in the Netherlands, so your data is processed in the European Economic Area (EEA). Some of our service providers may also process data outside the UK and EEA, for example in the United States. Where this happens, we make sure appropriate safeguards are in place, such as adequacy regulations or standard contractual clauses.
Automatically collected data
Our website automatically collects technical data, such as anonymised IP addresses, browser information and system data. This data is used solely to improve the functionality, security and user experience of our website.
Cookies
Our website uses cookies to improve your experience. Cookies are small text files stored on your device. We use both functional cookies (needed for the website to work) and analytical and marketing cookies (which require your consent). You can manage your cookie preferences at any time using the cookie banner on our website or in your browser settings.
Legal obligations
Veiko may be required to share personal data with authorities where the law requires it, for example in connection with tax obligations or official proceedings.
How long we keep your data
We only keep personal data for as long as necessary to fulfil the purposes for which it was collected, or to meet legal obligations. Accounting records are kept for the period required by law (usually 7 years). Once data is no longer needed, it is securely deleted or anonymised.
Your rights under the UK GDPR
Under the UK GDPR, you have the following rights:
- Right of access: you can ask what data we process about you
- Right to rectification: you can ask us to correct inaccurate data
- Right to erasure: you can ask us to delete your data (the “right to be forgotten”)
- Right to restrict processing: you can ask us to limit how we process your data
- Right to data portability: you can receive your data in a structured format
- Right to object: you can object to certain types of processing
- Right to withdraw consent: where processing is based on consent, you can withdraw it at any time
To exercise any of these rights, please contact us at info@veiko.uk. We’ll respond to your request within one month. Veiko does not use automated decision-making or profiling that has legal effects.
Making a complaint
If you have concerns about how we process your personal data, please contact us first at info@veiko.uk. You also have the right to lodge a complaint with the supervisory authority. In the UK, this is the Information Commissioner’s Office (ICO): https://ico.org.uk.
Data security
We use appropriate technical and organisational measures to protect personal data, including:
- Encrypted SSL connections
- Secure servers and systems
- Restricted and monitored access to personal data
- Regular security checks
